Legal agreements and policies for orientation tour booking services

1. Introduction and Scope

Welcome to Happy Relocation's orientation tour services. These Terms and Conditions ("Terms") govern your use of our orientation tour booking services and constitute a legally binding agreement between you ("Client", "You") and Happy Relocation ("Company", "We", "Us").

By booking an orientation tour with us, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions. If you do not agree with any part of these terms, please do not proceed with booking our services.

Services Covered

  • Essential orientation tour packages (4-hour tours)
  • Premium orientation tour packages (8-hour tours)
  • Executive orientation tour packages (2-day tours)
  • Custom orientation tour packages
  • Follow-up support services

2. Booking Terms and Conditions

2.1 Booking Process

All bookings must be made through our official website or by contacting our authorized representatives. A booking is considered confirmed only upon receipt of full payment and written confirmation from Happy Relocation.

We reserve the right to refuse service to any individual or group at our sole discretion.

2.2 Booking Requirements

  • All participants must be 18 years or older, or accompanied by a legal guardian
  • Valid identification documents are required for all participants
  • Bookings must be made at least 48 hours in advance
  • Group bookings (6+ people) require 7 days advance notice
  • Special requirements must be communicated at the time of booking

2.3 Tour Availability

Tour availability is subject to guide availability, weather conditions, and local circumstances. We operate tours daily from 9:00 AM to 8:00 PM, subject to local holidays and exceptional circumstances.

3. Cancellation Policy

3.1 Client Cancellations

Cancellation Timeline and Refunds:

  • More than 7 days before tour: Full refund (100%)
  • 3-7 days before tour: 75% refund
  • 24-72 hours before tour: 50% refund
  • Less than 24 hours: No refund
  • No-show: No refund

3.2 Company Cancellations

Happy Relocation reserves the right to cancel tours due to:

  • Severe weather conditions or safety concerns
  • Guide illness or unavailability
  • Government restrictions or local emergencies
  • Insufficient bookings (minimum 1 participant required)

In case of company cancellation, clients will receive a full refund or the option to reschedule at no additional cost.

3.3 Rescheduling

Tours may be rescheduled up to 48 hours before the scheduled time without penalty. Rescheduling requests within 48 hours may incur additional charges.

4. Payment Conditions

4.1 Payment Methods

We accept the following payment methods:

  • Credit cards (Visa, MasterCard, American Express)
  • Bank transfers
  • Cash payments (for bookings made in person)
  • Digital payment platforms (Apple Pay, Google Pay)

4.2 Payment Terms

Full payment is required at the time of booking. No tour will be confirmed without complete payment. All prices are quoted in UAE Dirhams (AED) and include applicable taxes.

4.3 Price Changes

Prices are subject to change without notice. However, once a booking is confirmed and paid for, the price will not change regardless of subsequent price adjustments.

4.4 Additional Costs

Tour prices include guide services and basic orientation materials. The following are not included and may incur additional costs:

  • Transportation to and from meeting points
  • Meals and refreshments
  • Entry fees to attractions or facilities
  • Personal expenses and purchases
  • Tips and gratuities (optional)

5. Tour Guidelines and Participant Responsibilities

5.1 Participant Conduct

All participants are expected to:

  • Arrive punctually at designated meeting points
  • Follow the guide's instructions and safety guidelines
  • Respect local customs, laws, and regulations
  • Treat guides and other participants with courtesy and respect
  • Take responsibility for personal belongings

5.2 Health and Safety Requirements

Participants must:

  • Disclose any medical conditions that may affect tour participation
  • Carry necessary medications and medical supplies
  • Wear appropriate clothing and footwear for outdoor activities
  • Follow all safety instructions provided by guides
  • Inform guides immediately of any health concerns during the tour

5.3 Tour Modifications

Happy Relocation reserves the right to modify tour itineraries due to weather conditions, traffic, local events, or safety concerns. We will make every effort to provide alternative arrangements of equal value.

5.4 Photography and Privacy

By participating in our tours, you consent to being photographed or filmed for promotional purposes. If you prefer not to be included in promotional materials, please inform your guide at the beginning of the tour.

6. Liability Disclaimers and Limitations

6.1 Limitation of Liability

Happy Relocation's liability is limited to the amount paid for the tour service. We shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from or related to the tour services.

Important Notice:

Participation in orientation tours is at your own risk. Happy Relocation is not responsible for accidents, injuries, losses, or damages that may occur during or as a result of tour participation.

6.2 Third-Party Services

We are not responsible for the actions, omissions, or services provided by third-party vendors, transportation providers, or venue operators that may be encountered during tours.

6.3 Personal Property

Happy Relocation is not responsible for loss, theft, or damage to personal property during tours. Participants are advised to secure valuable items and maintain appropriate insurance coverage.

6.4 Force Majeure

We shall not be liable for any failure to perform our obligations due to circumstances beyond our reasonable control, including but not limited to natural disasters, government actions, terrorism, or pandemic-related restrictions.

7. Privacy Policy and Data Protection

7.1 Information Collection

We collect and process personal information necessary for tour booking and service delivery, including:

  • Contact information (name, email, phone number)
  • Payment information (processed securely through third-party providers)
  • Tour preferences and special requirements
  • Emergency contact details

7.2 Information Use

Your personal information is used solely for:

  • Processing and confirming tour bookings
  • Providing tour services and support
  • Communicating important tour-related information
  • Improving our services (with your consent)
  • Compliance with legal requirements

7.3 Data Security

We implement appropriate security measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. However, no method of transmission over the internet is 100% secure.

7.4 Data Retention

We retain personal information only as long as necessary to fulfill the purposes for which it was collected or as required by law. You may request deletion of your personal data by contacting us directly.

7.5 Third-Party Sharing

We do not sell, trade, or rent personal information to third parties. Information may be shared with trusted service providers who assist in tour operations, subject to confidentiality agreements.
